Um, we have, uh, what we understand is, uh, you know, a relatively significant, uh, task to, uh, make all of our digital content accessible, uh, by April of 26. Um, we have some myths that we're trying to stamp out here. Um, this is not just for students. Our audience includes the public that comes to sporting events. It includes, um, parents who come to things. It includes employers that come to, um, you know, employer fairs. It includes, um, someone that comes to, uh, you know, go to a theater production or something. So, um, we, you know, it includes our alumni. Um, and as one of those, um, who's, uh, approaching a very significant decade of my life, um, here, uh, quite soon, I can tell you, um, we all have accessibility needs now. Um, so, um, so when you're thinking about this, um, think about, you know, all of those audiences that we serve, um, and, you know, our goal is to make things a more accessible, uh, for everyone. Um, and this training will focus on how you can use YouTube Panorama to do that. Um, keeping in mind that YouTube panorama is a tool, um, and it has been confused a little bit with like the rule or the guideline or something. So, um, the goal is not to get 100% in use a panorama necessarily. Um, that that's great. But the goal is to meet wcaG guidelines. So sometimes I see people kind of getting a little bit, um, too worried about the wrong things. Um, so, uh, you know, we do also have a website, um, in built in brightspace, in which we try to kind of explain a lot of this in a lot more context and give examples so that you really understand what you're trying to accomplish. Jessica, do you want to add anything from your perspective? Thanks, Wendy. I think, uh, to just encourage everyone to also get into the UX ball game that Wendy had just mentioned. Um, we have wonderful training tools within there, and we also update, um, the frequently asked questions section quite often. And so if you're getting started in this process and just have questions why we're doing this, who is this impacting? University of Akron isn't the only one. It's all state entities under title two. So it's happening here. It's happening, uh, in Northeast Ohio, and it's happening in California and all the other states. And so we do really encourage you to get into the equipment room in the UX Bowl and frequently asked questions. As we identify new questions and new needs, we are actively updating the course in real time. And just thank you, everyone for your dedication to this enormous effort. And, um, yeah, I really appreciate everyone's time. Okay. With that will have Diana show how you can use user um, even if you've never even heard of Brightspace. So. Perfect. Thank you. And you all. Hi, everyone. Welcome. Let me go ahead and share my agenda for today. Uh, to give you an overview of what we will be covering in today's session. So in today's session, we will be talking about accessing a new panorama. And within the panorama console we call the Doc Hub, which is a repository where you can go in and upload your documents that you need to remediate. Look at the accessibility report and also how you are able to fix any issues that Panorama flags. We'll be focusing on the severe major issues to help you with how to, uh, get your score to be a higher score of accessibility. And then we'll talk about some of the add ons that are also available to also enhance your experience and help you remediate those documents, such as PDFs, or maybe those documents that you see that has a lot of accessibility issues. So we'll talk about those as well. And then lastly talking about how to download those files there. You remediate how the score impacts, uh, how you remediate impacts this overall score. And then lastly, how you're able to reach out to our support team in the case that you have any questions, um, about using the tool. All right. So with that being said, let me go ahead and move over my agenda. And um, I do like to mention that you can access the Upper Panorama Advocate by going into the link in my Akron, um, website. So, um, you will find the Panorama link, and once you go ahead and click into that link, it's going to log you into what we call the panorama console as you're seeing here on my screen. So, um, the first tab that you'll see here on the left side, you will see the backup and this will be that repository that we're talking about. So within this page you are able to create folders so you can organize the content that you upload. And then you can also upload individual files as you can see here on the bottom. This repository allows you to search specific folders files as well as filter. Uh, if you want to see um, alphabetical order for example. Uh, so you have the capability of searching your files in here. So with that being said, the first thing is, well, when I log in for the first time, my backup will be empty. How do I start creating those folders and uploading those files? So as you can see here on the top next to folders we have a create folder option. You will go ahead and click into that. And would you would just give it a name. Okay. Once you enter the name for your folder, you can click create and you will see the folder now created here on the top. And you can just double click and access that folder. And in the case that now you want to go in and add the files. You can go ahead and select add a file or a subfolder in the case that you want to have maybe different sections within this main folder okay. When we click into add, a file is going to bring us to our computer. And we can select one file at a time or highlight and upload um, several files. And then um, if you look here on the right hand side, you will see a little status window just letting you know that those documents have been successfully uploaded to your.com. Okay. All right. One of the things to keep in mind is as you are uploading those documents that you are remediating, um, you will see them pop up. And as you hover over that thumbnail, you will see a little icon here on the upper left hand corner. And that is just telling you that the panorama scanning the document and is generating that accessibility score. So you can later go on and check what the accessibility report is and what the issues are. The Panorama film too. So if we click into it, you will see here under the menu we have an accessibility report. We give you the overall score which is 68%. And then down on the bottom, just to let you know, we do also offer alternative formats in the case that you want to generate them and download your file in a different file format. Okay. All right. So as you can see here, now that my documents have been scanned by Panorama, we can see the little preview here in the thumbnail. And then the icons that you see here on the upper left hand corner, those icons will appear different. And that's just to give you, um, an idea of what the accessibility score is. So for example, if you see like a yellow triangle, that means that the accessibility score is between, um, 30 to 70%. If you see a red icon, it's just to get your attention to say, oh, it looks like the accessibility is below 30%. And if you see a green icon, most likely the accessibility height, it could be from 70 to 100% okay. All right. So now that we that you can see how you can create folders, you can upload files. Again, if you just want to upload individual files, you can select upload. And then again it will bring you to this window where you can select the document and it will upload it into your hub in here. And then you can see here now that it's processing, Panorama is scanning the file. And then it will give you that accessibility report so you can start remediating. Okay. So pretty easy pretty straightforward on how to um access your backup, create your folders and upload those files into, um, the dark. Okay. So now let's go ahead and talk more in depth about, uh, remediating the documents. What are some of the common issues that we see? Uh, right. Uh, so let's say you're working on a project. You want to make sure that, uh, all the documents in this project are accessible. Just making sure that everything looks good. Since you will be sharing this with other people. So what you can do is, um, you can go ahead and select the file. And open up the accessibility report. So as you can see for this file, we have an overall 68%. If we click into it we are going to access what we call the accessibility report. So Panorama will give you um, if you look here on the left side, it will give you a preview of the document as to what it looks like. So this is a word document that we have. And then over here on the right side. So you're going to see some information. So what Panorama does is as you upload your document is going to scan and flag any accessibility issues. And it's going to rate them into different uh severities. So it could be a severe issue, could be major where you could just be a minor issue. So each accessibility issue will be categorized into specific severity. And then down here on the bottom this is where you'll see what the issue is. And Panorama will highlight where the issue is located within the document. And it will give you information as to what it is. So in this specific instance it says that there's insufficient contrast between the foreground and the text. If you're not too sure what this means, panorama will give you information as to what it is and how you can remediate it. So right here under the issue there is a Learn More tab. If we click into it, Panorama will give you a video tutorial that you can play. Okay, you can make this, um, full screen if you like. You can fast forward and then also down here on the bottom, it's going to give you information on how to fix this issue within the word itself. So since this is a word document, it's going to tell me how I can change the contrast or the color of my text using word. Okay. And the great thing about this is that it gives you instructions as well as images that you can look like and you can follow. And if you're curious to see what the weight care guideline, uh, we're flagging, it would be this one on underneath. And you can click into it and it will take you to that guideline and give you that information. Okay. All right. If we scroll up, you will also have this other tab here on the side. Assess what this means. And this just gives you more information about what the specific accessibility issue is and why it is important for us to resolve it. So, um, uh, I advise that in the case as you're are looking at your documents, some of these, uh, can be a little hard to understand. So I do advice to go into what this means tab, as we give you more information. Um, what is accessibility issue is a how why it impacts the users. Okay. So, um, for manual remediation, will we call that will be, uh. Fixing the fixing the issue within word itself within the original file. So you'll see those instructions here on how to fix. Okay. If we go back to the accessibility report, um, let's say you wanted to fix it manually and you follow the instructions that Panorama provided you. Once you have the updated document, you could also drag and drop it in here in the case that you want Panorama to scan just to see if there's any other issues, um, within the file. But one of the things that I do like to recommend is that you don't necessarily have to go back to the original document to remediate. Um, Panorama does have what we call a remediation engine, and it allows you to fix the documents right within the accessibility report. So as you can see here under the issue type we have a fixed issue window. If you click into that panorama will allow you to make the fix right in this window so you don't have to access the original file, you can just fix it in here. So as you can see here, um, Panorama by default says if you have a white background we recommend black text color. And then you can see here that, um, this will pass accessibility in the case that you want to pick a different color. Maybe you want to make this stand out a little bit more. You can select which color you like within the color wheel. And then you can select the color. And then panorama will tell you if it passes or if it fails. Okay, so it looks like this one passes. Here's a little preview here on the bottom. And then I can add and proceed to review. So once you add your selection panorama is going to say okay we are fixing this issue. Let's go ahead and apply the fixes. Okay. And what this does is it's going to apply. The fix is still going to go ahead and scan just to make sure there's not other issues. And then you can see here we get the confetti. And then now that we fix that issue we are at 100%. And um, if we exit out of that panorama will, uh, update your file. So as you can see, we'll have the updated alternative formats in case you wish to download a different format from the word document. Or you could also go back and then download um, the the file now that it's updated. So if you hover over the thumbnail of that document over here on the right side, you'll have a download button that you can select and it will download to your computer. Okay, so, um, that's one way that you can remediate files within the scope. Um, some of the things that we like to focus on are major or severe items, just because those issues typically impact greatly on the score of your file. So let's say, um. This specific document and these documents are quite common. We see those are scan untagged PDFs. Maybe you're taking a piece of, um, a textbook that you want to share, and you made a copy of it, but now it's just a scanned image. So if we look at this example right here, I took an image of a specific section of a textbook. But one of the things about these type of files is that one, because it's a scanned image, if a user needs to use a screen reader, unfortunately the text inside this image won't be detected by the screen reader, so the user won't be able to access the information inside this document. So for most of those scan PDFs or untagged PDFs, Panorama will flag them with 0% accessibility. And that is because the document is scan for example. And we can click into the Learn more. And then you can see it gives you more information on how to remediate. If you wish to use Adobe Acrobat for example. And also what this means. So unlike normal PDFs, scan PDFs cannot be selected as their pages are images. Okay, so for these specific, um, documents, since it isn't 0%, what I typically recommend is using panorama to fix the issue. So if we click into fixed issue it's going to give me two options. So let me talk about the two different options that we have here. So you can remediate those uh, and uh scan PDFs. So one will be an overlay PDF. So what this does is um we will extract the text, put it on top of the image. So that way it is, um, detected by screen readers. So we'll keep the same format. It will be the same image, but we'll put the text on top of the image. So that way users that are using a screen reader, they can use it and it will be able to detect the text. Okay. We also have an OCR reconstructed PDF. And what this this means is that we'll create a brand new PDF with the content inside this image. So we'll extract the text and make it into a nice PDF that is easier to read. And of course screen readers will be able to detect the text as well. Okay. And then Panorama does give you information about those two. Uh, one recommendation is if you have a skin PDF where it has a lot of images, graphs, tables, I recommend just using the overlay. So we keep the same format. But in the case that you have maybe just a section of a text book is just plain text. Then you can also um, request the reconstructed PDF. So that way is just a brand new, better looking PDF and it's easier to read. All right. So once we go ahead and select the option that we like. We'll go ahead and click Fix Issue and proceed. And we'll apply the fix. So what this is going to do is it's going to replace this scan image with this new format that we selected. And then um, what Panorama does is once we replace it, it's still going to scan to see if there's any other accessibility issues within this document. So as you can see here in this document, um, now we are able to detect the text for once it is the reconstructed one. So as you can see, it looks a lot nicer than that scanned document that we had. And then over here on the right side now we um Panorama is telling me, okay, so there's still some items that we need to remediate. For example the title is missing from the document. We can go here and add fix issue and we can add the title here. And review and apply the fixes. Okay, as you are remediating, as you can see, Panorama will, uh, update the document as well as update the score, uh, and so forth. In some instances, as you can see here, for example, Panorama's flagging that the font size is smaller than nine points for a PDF. You don't see the fixed issue item. And so I do want to mention that we do support over 26 issue types that you can fix in the accessibility report. However, there might be some that don't have the fixed issue. So in this case, uh, we do recommend that you, uh, remediate the items within the original document. So for PDFs we don't support at the moment, uh, fixing the font size. So, uh, one of the things that Panorama does is it allows you to see instructions on how to edit the text. Uh, you can use Adobe Acrobat if you can, or if you have another, um, free tool that you can use for PDFs. Um, we'll provide you instructions. So what I would recommend in this case is just going back now that you fixed everything that has the fixed issue button, and now you can just download it and then use that third party tool so you can fix the font size for example. And uh, we do have a list of the accessibility issues that we support for um, the remediation, the fixed issue item. And it will be a list that is here. And I will also share the link with you in the case that you want to keep this, um, saved in your bookmarks for later on. So we tell you what the document type is, what the issue is. And then if you are able to, um, use the remediation or if we don't support okay. Uh, right. Um, so I do want to mention that we, as we are remediating remediating items, we typically look, uh, resolving the severe and major items first just because those have a heavier impact in your score. Um, so if you fix most of the severe, most of the major items, you can see that your score is going to be a lot higher. All right. So now, um, now that we talked about remediating files. Remediating those scan PDFs inside the Docker Hub. Um, now let's talk more about, uh, PDF remediation. So, uh, let's go ahead and grab another document here. All right, let's do this one right here. All right. So in the case that maybe your PDF is. Not scan, but maybe a panorama will tell you. Hey, you need to check the structure of the document. If you're not too sure what that means, it means that you know when screen readers go in and read the document, they read the order in which the items are read out loud to the user. So in the case that you want to go in and check to see what that order is, just making sure that is in order. We do have what we call structure remediation. So within the accessibility report here on the bottom you will see structure remediation. So if you go ahead and click launch. As you can see here the structure remediation will highlight each of the elements of the document and each doc. Each element will have its own tag. So it could be a header. It could be a paragraph. It could be a figure in image. Um, and if you look here on the right side, this is where you are able to see the structure as well. So it's going to give you page one. If you select the dropdown, you are able to see all of the elements that we call them. Um, and then you can see that panorama highlights them as you go through them. So you just want to make sure that you go in and check to see okay. Is this the correct element. Is this the correct tag. Or if it's not you can select it. You can edit and select the element type. So let's say this is not um this is maybe a heading. And then you can also select the language as well. So you are able to see the elements, the tags for each um as well as the reading order. And then you can edit those, you can move them around if you need to. So you can adjust the order. Okay. So it will, um, allow you to see the elements for each page. And then you can also click into them and um, edit if it's the wrong element to say, okay, this one is a paragraph. So let's go ahead and select the paragraph in here okay. Not only does it allow you to see the structure, as you can see here, you can also toggle this off it if it gets in the way. Um, but it also allows you to add alternative text to the images and say this PDF. So right here in the middle you will see all the images inside this PDF. And then you can enter that alternative text if you like. Or we also have a generate button which will use AI to generate alternative text for this image. So um, as you can see here, it's very detailed. Um, but you could also go in and edit in the case that you want to add more information to that alternative text. Okay. Right. Um, so I do recommend, um, if you are more familiar with PDFs, you want to take a look at the structure. You want to make sure that the elements are correct, uh, to use the structure remediation tool, and also for the images to be able to out those alternative, um, descriptions as well. Okay. And once we are done, um, as you can see here, making all of our changes, we can click save. And then again, um, Panorama will update the original document. You can see here we get the confetti and then now we can, um, go back and continue fixing other issues. That Panorama has flag. Uh, for example, missing the title and so forth. So that's one of the reasons why we use structured remediation for those PDFs. Um, but then again, you can also, um, use the remediation engine, as you can see here in the accessibility report, to fix any of the issues, um, that are within that PDF. Okay. Okay, so that's one of the add ons that we have for Panorama, especially for PDFs. Now let's talk about autopilot. So let me go ahead and show you this, uh, PowerPoint presentation that I have here inside my desktop. So as you can see here, this specific document has 12 issues. There's four severe issues in eight major. So as you can see here, since it has a lot of severe and major issues, my score is very low 21%. In some instances you might have documents that not only have 12 issues, you might have 90 issues. And um, for these type of files, I would like to say don't get discouraged. I know it seems like a big number. However, your institution does have another add on for panorama called autopilot, and this tool would allow you to automate those fixes, those very simple fixes, um, that you can make. For example, maybe the font size is, um, smaller than nine points. And there several instances, maybe 20 instances where the font size is smaller than nine points. Maybe you have contrast issues and that comes up maybe ten times throughout the document. So in order to automate it, save you more time. Um, we do have that autopilot, uh, tool available. So within the accessibility report you will see the autopilot option. If you click Launch what Autopilot is going to do. You'll see a little plane flying around your document. It's going to propose fixes. Um, so if we scroll a little bit down. You can see here that autopilot is going to propose fixes for my documents. So there's two pages of fixes that autopilot can do. And it's going to fix a lot of the insufficient contrast issues. Um, and I believe in this specific document. Thus those are most of the issues that I have, just the insufficient contrast. So autopilot will list the fixes here. And then all you have to do is click apply changes. So we'll go ahead and click apply. And what this is going to do is it's going to fix those contrast issues for you. So then that way if there's any other issues that you need to remediate. Um. You can just go in and remediate. Remediate them quickly. So as you can see here, before we had 12 issues that we had to remediate. Now it's just four issues that I have to go in and just check the reading order of the slide, just to make sure that it looks correct. And I can just say, okay, I verify the reading order. And this I verify the reading order of all four slides. I can add the change to all of them. I can review everything looks correct and I can apply the fixes. So typically if I didn't have autopilot to remediate those other eight instances of the color contrast, it would have taken me maybe another 30 minutes to fix. Um, but as you can see in this example, it only took me two clicks to fix those, and then maybe a few other minutes just to look at the other issues that I have to verify within Panorama. Okay. So just want to say take advantage of the autopilot specially for those documents where you have maybe 200 issues. Um, autopilot will help you remediate those small, smaller ones. And as you saw with just a few clicks. Launch autopilot proposed to fix this and fix. And then that way you will have that ability to go in and fix those other severe issues that you saw. And that only took me a few minutes. And then now I'm at 100%. So that's the workflow that we recommend. Um, to go in, Launch Autopilot to fix those, um, items that it can automate, and then just focus on the other items so you, um, get your files to a higher score. Okay. So, uh, again, once you are done, we're at 100%. We're good to go. Now, I can go back and download my original document, and now I can share it with other users and continue using it with my projects or, um, for marketing. Now I can make it available to users. Yeah. All right. So we talked about remediation. We talked about the add ons for Panorama. So. Let's say you made them changes with autopilot. Maybe you didn't like the changes that it made here. Or maybe you want to access the original file. Um, the great thing about Panorama is that it's it saves all the versions of the changes that you make. So if we go in to the accessibility report. Over here on the bottom next to update document, there will be three dots under more actions and this will give you the version history. So as you can see here we remediated this file twice. So we have different versions. And you could always go back and restore this version. So let's say okay I fix this. But maybe I want to go back to the original I want to make other changes. You can click restore. And Panorama will bring back that original document. And once you restore it, um, you will be able again to download that original in the case you want to save it in your computer. Or maybe you want to take a look at the accessibility report and the issues that we fix. Uh, we always bring it back. So, uh, you never lose access to the original file. You could always reverted back. Um, and then again, maybe you looked at this version. Oh, okay. I remember what the issues were. I can now bring it back to the remediated one. Uh. From here. Okay, so I just want to let you know each file will have its own version, um, history. And you could always go back to whichever version you like. Okay. And then that would be located in the accessibility report on the bottom next to update document. Okay. All right. Um. Some of the, um, questions that are asked. Um, can you run autopilot on multiple documents at the same time? At the moment, we don't support that. However, as you can see, it only took me two clicks to launch it for a document so I can do that. Launch autopilot for one document, exit out of it as it's updated on its own, and then do the same thing for my next document. So, um, even though we don't support a bulk option right now, um, you can still just use autopilot, uh, very fast and easy for, for your files. And you don't need to wait for the accessibility report to generate. You can exit out, and then once it's ready, you'll see the icon show up with the updated score. So you could always jump from one document to another if you need to. Okay. All right. So we talked about, um, uploading your files to the Docker Hub, remediating them using the fix issue, uh, being able to access more information about what the issues are and also how to remediate or manually remediate items in the case of Panorama, doesn't provide you with the fix issue. And then we talked about using the autopilot, the PDF remediation, those add ons that will help you with your PDFs, as well as those, uh, documents that have tons of issues and how to automate them, and then downloading those remediated files by using hovering over the thumbnail and clicking on download. And that will give you the most updated copy here from your backup. And then also the impact of your score. So as I mentioned, we try to focus on remediating the severe and major items as those have the most impact in your score. Um, and again, like Wendy said, we try to get to 100%, but ideally sometimes that's not possible. However, hopefully with the tools with PDF and autopilot, it it allows you to get there faster, um, an easier way. But um, other than that, I do want to mention that not only your team is there to help, but also our support team is there. So in the case that you are working on your files, it's late at night and you have questions or you encounter an issue. Maybe there is a bug that we don't know about. Um, if you want to report that you have access to our support team 24 seven. So inside your backup, you will see a little icon here on the upper right hand corner. And you will see a support tab here on the on the bottom. If you click that this will take you to our support page where we have a lot of guides that can help you. Um, one of the sections that I do recommend is this one right here, the Accessibility Platform. And it gives you, um, information, different guides and video tutorials on how to use Panorama. But in the case that you need to get Ahold of someone. We now added a chat function here on the right side, and all you have to do is provide your name, your institution email and your the name of your institution, and you can start a chat with an agent. Or if you scroll down, we also have a phone number save in the case that you need to get a hold of someone immediately, you can give us a call as well, or you can also send an email. So in the case that you have questions about the document, uh, you can send an email, attach the document. And our support agents are also able to help. Okay. All right. But other than that I hope you find this tool very helpful. One thing that I do recommend, don't feel discouraged. The tools are there for you.
