Exchange Online Migration - Frequently Asked Questions 

Exchange Online refers to Microsoft's hosted messaging environment for email and calendar.  

"Cloud-based" or "in the cloud" means a third-party (in this case, Microsoft) provides the applications via the Internet and stores the data on their servers.  

Multiple copies of your data are stored for redundancy purposes.  The data is encrypted when accessed from the server.  This results in an online service that has the equivalant reliability and security as an on-campus server.

No - your email address will remain the same.

You will continue to use the same method(s) for accessing your email and calendar.  If you access the Outlook Web App (OWA) via My Akron (clicking the Exchange Mail Link) you will be provided with another link to select once you are migrated.  However, this will only be the case until everyone is converted.  Once all mailboxes have been converted, the link will take you directly to OWA.

Yes, inbound and outbound email will continue to be routed through the Proofpoint service.

All faculty, staff, student assistants graduate assistants and retiree exchange mailboxes will be migrated.  

Several years ago we migrated the student email system to a free offering from Google.  This move resulted in considerable savings in staff time and eliminated the need for expensive equipment replacements.

No, due to the time required to migrate each mailboxes, the migration will occur in phases:

  • Faculty and staff will be migrated by department
  • Student assistants and graduate assistants will be migrated at one time
  • Retirees will be migrated together
