Policy On Institutional Data Requests

Criteria

The main criterion for fulfilling a request for data is that the information will be used for University administrative purposes, such as a request from a faculty council, administrative office or committee.

Priorities

In determining what can be provided, IR needs to be mindful of institutional priorities and deadlines.  IR also needs to consider the time and effort required to prepare a special request against the usefulness the data will have in support of the education and research missions of the University.  Most data requests can be completed in one to three weeks.  IR will do its best to be sensitive to your need-by-date; however, depending on office priorities, a request may take longer than three weeks.  NOTE: Depending on the nature of the request, approval from the Office of Academic Affairs may be necessary.  Listed below are the highest priority items within IR responsibilities:

  • Federal, state and accrediting agency reporting, where compliance is mandatory.
  • Requests by members of the Board of Trustees and senior level administrators.
  • Deans, faculty representatives of standing committees, or to support institutional planning.
  • Requests by departments or programs for use in submitting a grant proposal, educational assessment or program review.

Requests for data to support personal research or classroom usage by individual members of the university community are handled on a case-by-case, and a time-available basis.

After your request is submitted, you will receive a confirmation email from Footprints with the Ticket number.  This number will be used to track your request through the process.  You will be contacted if the request cannot be processed for any reason or if any questions arise while processing your request.
